Creating or editing a works calendar

What?

Works calendars are used to plan collective events such as public holidays, collective closures, etc. The following information can be entered into the works calendar:

  • absences;
  • day programs;
  • shift rotations;
  • additional info;
  • allowances;
  • access groups (in combination with the ProAccess module);
  • cost programs (in combination with the ProCost module).

Each employee can be linked to one works calendar. This allows you to overwrite the normally scheduled day programs, shift rotations, etc., without having to change them individually for each employee.

You can define an unlimited number of works calendars. You do not have to recreate the same calendar every year: you can simply supplement the information per year.

  1. On the left, click on ‘Work calendars’ in the function list.
  2. Click 'Add' at the top of the screen.
  3. Choose a suitable name and click on ‘OK’.

    Choose a clear and unique name for the new works calendar. If necessary, you can click on the globe to enter a translation.

  3. Paint the needed information in the works calendar.

    The works calendar will be shown for the period from the last used overview. At the top in the ribbon, you can change the period to Year summary.

  3. Paint the needed information in the works calendar.
    You paint the information in the works calendar the same way as when planning for individual employees.

If you want to plan public holidays and collective closure for the following year, you should not create a new works calendar. You just use the current works calendar and you select the correct year at the top (under 'Period selection'). This way, you automatically fill in the calendars for all employees who are linked to the relevant works calendar.
